HALL COMPUTER SERVICES staff are allocated access to only the areas where they need to carry out their work. Any staff who are entrusted with personal information from our website are trained to understand the responsibility that they must secure the company’s and client’s data.

This is not only vital to the security of your business but also regulated by privacy legislation – The Privacy Act 1988 (Cth) (Privacy Act)

Your information is safe

We will collect your information directly from you through the enquiry page on the website. Or through a secondary email or by telephone if you require further assistance.

Our electronic records are contained in a controlled and secure environment.

We are a paperless operation and no hard copies of client material are ever printed or stored.

 

Confidentiality access control

HALL COMPUTER SERVICES will take the following steps for the security and confidentiality of our records:

  • Our hardware, software, and the configuration of our exclusive security network are designed to protect all aspects of our network
  • For any company that joins us as a client,  a Primary Customer Contact nominated by the Manager/Owner of the company will be the only primary point of contact with HCS’s service desk.

Unless there is an ongoing relationship between the enquirer and HALL COMPUTER SERVICES, any personal details given for the enquiry will be destroyed once the enquiry is at an end.

 

Moving and storing data safely

Encryption

All data is encrypted in transit with a Transport Layer Security (TLS) that has SSL certificates used for the secure transportation of data.

Firewalls

Firewalls are the most secure Unified Threat Management (UTM).

Unlike consumer-grade products, the program we use delivers the most effective anti-malware, intrusion prevention, content/URL filtering, and application control capabilities. HALL COMPUTER SERVICES has been an authorised partner of this software since 2010.

When we collect and process personal information for contracted clients we retain this information, we will protect it within our secure systems to prevent loss and theft, as well as unauthorised access, disclosure, copying, use or modification.

How long do we keep your personal information?

We keep your personal information only for as long as we need to. This period may depend on what we are using your information for. For example, if you have provided us with personal information as part of creating an account with us, we may retain this information for the duration your account exists on our system. If your personal information is no longer required for this purpose, we will delete it or make it anonymous by removing all details that identify you.

However, if necessary, we may retain your personal information for our compliance with a legal, accounting, or reporting obligation to statutory bodies.

Disclosure of personal information to third parties

Unless you instruct us to do so in writing – we do not disclose personal information to anyone.

If you become a client of HALL COMPUTER SERVICES we will follow the Terms and Conditions of our Management Agreement to supply your information for any reasonable purpose that is necessary for our third-party services.

The personal information we collect is stored and/or processed in Australia so there are never international transfers.

Your right to control your personal information

Your choice  – You do not have to provide personal information to us, you can contact us with a phone call.

 

Access: You may request details of the personal information that we hold about you.

Correction: If you believe that any information we hold about you is inaccurate, out of date, incomplete, irrelevant, or misleading, please contact us using the details provided in this privacy policy. We will take reasonable steps to correct any information found to be inaccurate, incomplete, misleading, or out of date.

Complaints: If you believe that we have breached a relevant data protection law and wish to make a complaint, please contact us using the details below and provide us with full details of the alleged breach. We will promptly investigate your complaint and respond to you, in writing, setting out the outcome of our investigation and the steps we will take to deal with your complaint. You also have the right to contact a regulatory body or data protection authority about your complaint.
